Job Summary

Job Purpose:

  • Responsible for managing quote process prior to award from the initial preparation of quotation documents and full cost budget through to handover to ops.
  • Ensuring all activities are always in compliance with the influences process and associated commercial procedures.

Internal Relationships

  • Directly Reports to: Commercial Director
  • External Relationships: Clients, Product Line Teams, Business Development Team.

Main Responsibilities

  • Conduct business in compliance with company procedures and actively promote this to others.
  • Act as one of the commercial focal points to receive and process lead information from the Business Development team and log and track opportunities and provide and manage quotations as required.
  • Prepare and validate cost budgets for every quotation showing detailed margin and drive to ensure all costs are specifically identified and included and the source referenced, and that margin is maximised across the project and ensure its recorded sign off by the required Directors and Manager.
  • Organise and implement quote kick off meetings ensuring all relevant STATS parties are invited.
  • Ensure all terms and conditions are identified at the earliest opportunity and reviewed and qualified by the allocated Contracts Specialist prior to proceeding with any scope or bid.
  • Assist with the preparation of tender documents and prequalification information as required.
  • Confirm and agree all specific commercial terms are exactly as per STATS standard and escalate any deviations for review and acceptance.
  • Prepare and track actions on outstanding quotes, opportunities to be quoted and quotes to be followed up.
  • Ensuring revenue tracking reports are up to date at all times.
  • Prepare weekly and monthly reporting data as required to demonstrate departmental activities.
  • Communicate regularly with Lead and other Team members to ensure good level of awareness of workload and ongoing activities. Work closely with the team generally to ensure a joined-up approach to activities.
  • Ensure risk reviews are scheduled, conducted with required attendees and minuted for all applicable budgetary or firm quotes.
  • Conduct all activities in full compliance with the influence’s procedures, DOA and any other applicable company processes.
  • Promote compliance to STATS staff and actively intervene and highlight/escalate any process deviations to the Commercial Lead/Director for resolution.
  • Report weekly on completed and ongoing work.

Individual Quality and Safety Responsibilities

  • Promote and uphold the highest standards of ethics in compliance with Company’s Code of Conduct and Business Ethics Policy.
  • To comply with STATS and Client quality, safety and environmental management systems and procedures at all times.
  • Ensure all accidents/incidents/near misses/hazards are immediately reported and relevant paper work is completed.

Internal Training Requirements

  • Training modules as required.
  • STATS Basic Tools Training.

Experience / Competence / Skills / Knowledge

  • Knowledge and understanding of commercial, tender and quotation processes reviewing client requirements, signoffs and approvals, preparing cost base and drafting quotations.
  • Typically 2 years experience in oil and gas and/or engineering/manufacturing in similar role.
  • Excellent Microsoft excel and Microsoft word skills

Qualifications

  • Secondary level education required.
  • HND or Degree qualified (level 2.1 or higher) in relevant business area desirable but not essential.
